After years of helping couples plan weddings in this region, I’ve learned that having a clear roadmap makes the process so much easier. From booking venues that fill up quickly to navigating vendor timelines and regional logistics, a thoughtful plan helps you stay organized and enjoy the experience.

Below is the wedding planning checklist I share with many of my couples, including when to book vendors, what to prioritize early, and the details couples often forget.

Your budget is the foundation for every decision that follows. Knowing what you’re comfortable spending will help guide everything from venue choices to guest count and vendor priorities.

2. Estimate Your Guest Count

You don’t need a finalized list yet, but having a rough estimate helps you determine what venues will work for your event.

3. Establish a Timeline

Most Northeast Texas weddings are planned 12-24 months in advance, especially if you have a specific venue in mind.

4. Begin Venue Research

Your venue sets the tone for your entire wedding day. Once you know your guest count and budget, you can start narrowing down options.

5. Think About Your Wedding Events

Your wedding day is only one part of the celebration. Many couples also plan events like:

• Proposal (public or private)

• Engagement party

• Bridal shower

• Bachelorette party

• Bachelor party

• Rehearsal dinner

• Wedding ceremony

• Reception

• Morning-after brunch

How Far in Advance Should You Book a Venue in Northeast Texas?

One thing couples are often surprised by is how quickly venues and churches book in this region. In my experience, 12-24 months in advance is common, especially for venues with scenic views like lakes, hills, or waterfront settings.

If you have your heart set on a specific venue - your absolute favorite - I always recommend booking it 24 months (or more) in advance whenever possible.

By the time you reach 10 months before the wedding, availability can become extremely limited.

Vendors That Book the Fastest in Northeast Texas

Once your venue is secured, the next step is booking the vendors who tend to fill their calendars the fastest.

In Northeast Texas, those typically include:

• Venues, especially those with scenic views

• Photographers

• Caterers

Because these vendors only take a limited number of events each year, their availability disappears quickly during peak wedding seasons.

What I Recommend Prioritizing 12+ Months Before the Wedding

The early planning stage is when you’ll make some of the biggest decisions for your wedding.

When couples begin planning with me, I typically recommend focusing on these priorities first:

• Hiring your wedding planner

• Finalizing your budget

• Confirming your guest count

• Booking your venue

• Securing your photographer

• Hiring your caterer

• Gathering inspiration for your overall style and design

• Planning early events like the proposal or engagement party

• Asking your wedding party members to be MOH, bridesmaids, groomsmen, etc.

Wedding Planning Tasks: 11–5 Months Before the Wedding

Once the major vendors are secured, the planning process moves into more detailed decisions.

11-9 Months Before the Wedding

During this phase, couples typically focus on vendors and guest communication. This is the time to:

• Order your dress and tux/suit

• Create your wedding website

• Send save-the-dates, especially if your wedding falls near a holiday

• Book hair and makeup artists

• Hire your DJ or entertainment

• Arrange bartending services

• Reserve Airbnbs or VRBOs for guests

• Finalize your color palette

8-7 Months Before the Wedding

This phase is all about logistics. Couples should focus on:

• Ordering invitations

• Reserving hotel blocks

• Booking transportation companies

• Confirming your officiant

6-5 Months Before the Wedding

Now it’s time to refine the design and details. At this stage, I recommend:

• Ordering wedding party attire

• Finalizing decorations and rentals

• Choosing cakes and desserts

• Building your music playlists

What Should Happen in the Final 4-1 Months

The final months before your wedding are when everything starts coming together. By this stage, most of your vendors are booked and the focus shifts to confirming details, finalizing timelines, and preparing for the big day.

Here are the tasks I typically walk couples through during the final 4-1 months:

• File for your marriage license

• Host the bridal shower (this is usually held about 3-4 months before the wedding)

• Schedule dress alterations and wedding party alterations with your seamstress

• Have your bachelorette and bachelor parties

• Order guest favors and special gifts for parents, grandparents, or other important people in your life

• Finalize your ceremony timeline so everyone knows when and where they need to be

• Finalize your reception timeline, including entrances, dinner, speeches, and dancing

• Order additional printed materials like menus, programs, or signage

• Confirm security and event insurance, which many venues require

• Finalize RSVPs and seating arrangements

• Do your hair and makeup preview so there are no surprises on wedding day

• Schedule haircuts for the guys so everything looks fresh for the big day

• Book a location for your reception after-party or morning-after brunch

• Steam your dress, tux, and wedding attire

• Pack your “go bags” with reception outfits, honeymoon clothes, and travel items

Some of the most overlooked details are actually the ones that keep the day running smoothly. These are the small logistical pieces couples often don’t think about until the last minute, but planning them ahead of time makes a huge difference.

For example:

• Who will open and close the chapel doors

• Who will cue the wedding party to begin the processional

Planning a wedding in this area comes with a few logistical details couples don’t always think about at first. Because many venues in this region are rural or outdoor-focused, there are a few factors I always make sure couples plan for early in the process.

Weather

Weather is one of the biggest things to consider here. Rain and high winds can both be factors, so having a solid backup plan is essential if any part of your wedding is outdoors.

Uneven Terrain

Many venues have outdoor ceremony spaces, gravel parking areas, or uneven terrain. It’s something couples should keep in mind when planning footwear, transportation, and accessibility for guests.

Vendor Travel Fees

Texas is a large state, and vendor travel can add up quickly. Depending on where your venue is located, some vendors may charge additional travel fees, especially if they’re coming from larger cities.

Take quick getaway weekends when you can. Book couples massages. Keep your focus on the life you’re building together, your goals and dreams, and not just the event itself.

Do whatever you need to do to keep a calm balance during the planning process. Because at the end of the day, a happy planning journey leads to a happy wedding day!
