What People Get Wrong About Hiring a Wedding Planner

I do consider myself a fairy godplanner, and my clients would actually agree. That is not pride speaking, that is a fact. 🪄

Most planners are a little bit magical. We turn the beauty we see in couples into the beauty everyone sees at the wedding. It’s a gift. We have engaged in this profession because we truly believe in the solemnity of the marriage vows, and are equally passionate about the ceremony, the reception AND the journey. Weddings are a tremendous undertaking, and even if you’re the most organized type A personality, you’ll need a little help along the way.

The biggest misconception is that wedding planners are only for the wealthy.

In reality, planners often save you money. From negotiating vendor contracts to helping you maintain a healthy budget and stay on track, a good planner can save big bucks in the end while also relieving one of the most stressful parts of the process. One thing couples don’t always realize is that once you’ve booked vendors, you’re typically locked into those contracts. A planner can sometimes help navigate that, but not always - which is why bringing a planner in early can make a big difference.

Another misconception is that planners take over your vision or force their own ideas onto your wedding.

A good planner takes your vision and brings it to life - even if you don’t fully have one yet. You may just have a few ideas, and that’s enough. The smallest nuances in what you say and how you say it tell big stories, and it’s our job to pick up on those cues and reflect exactly who you are on your big day.

What a Wedding Planner Actually Does (Hint: It’s Not Just Decorating)

A lot of people assume planners decorate weddings.

Most planners don’t actually do the decorating! They execute timelines down to the second, create and oversee multi-faceted budgets, negotiate complex contracts, and yes - sometimes referee couples and parents. Planners oversee décor, but their real role is managing the entire experience - logistics, communication, flow, and problem-solving.

And in some cases, like with our team at Stag & Dove, we actually do offer décor services as well. We love presenting our décor closet to clients and showing how we put together our styles, always letting your vision lead the way.

Who Benefits Most From Hiring a Wedding Planner?

All couples.

I personally do not think anyone should be without one. Planners have multiple weddings under their belt and are able to anticipate just about every emergency.

Even planners hire planners for their own weddings, and that should tell you everything you need to know.

When You Might Not Need Full-Service Planning

There are situations where full-service planning may not be necessary.

Couples who have already started the process often benefit from partial planning instead. If you’ve already booked a venue or secured a few vendors, bringing in a planner to support the remaining pieces can be the perfect balance.

Full vs. Partial vs. Coordination: What’s the Difference?

Here’s a simple breakdown:

Full Planning: Manages all the logistics of a wedding from beginning to end, including:

  • Negotiating, contracting, and managing vendor agreements and timelines

  • Creating and managing complex budgets

  • Crafting and designing a cohesive aesthetic and overall experience

  • Assisting with everything from guest lists to attire, catering, and décor

  • Making sure all wedding party members know the plan and their role

  • Focusing on logistics so everything runs smoothly

Partial Planning: A portion of the above, depending on what support you need. A clear agreement outlines what the planner handles versus what the couple manages.

Month-Of Coordination: There is too much to plan and too much at stake to try to pull everything together the week of your wedding.

About a month out, your coordinator will contact all vendors, create a timeline with you, and align everyone involved - especially key vendors like your photographer and DJ. They will oversee the setup and execution of the day (not decorate) and manage the schedule, vendors, and wedding party.

What You Don’t See: The Real Value of a Wedding Planner

This is the part no one talks about.

Because the reality is, some of the most important work your wedding planner does…you will (hopefully) never even notice.

It looks a little like this:

  • Your outdoor ceremony arch falls over in a 50 mph wind gust (even though it was weighted down with 80 lbs) and somehow it’s back upright, secured, with mechanics hidden by flowers before guests even realize anything happened.

  • Your mini beer donkeys are arriving 45 minutes late because the driver got a flat tire, and your planner is quietly rearranging major portions of your timeline so it still feels seamless.

  • Your caterer forgets portions of dinner, and suddenly your planner is coordinating expedited Walmart runs and backup catering from the closest restaurants like it was always part of the plan.

  • Your wedding cake is melting sideways off the cake table, and your planner is behind the scenes stabilizing it with dowel rods so when you walk in…it still looks perfect.

  • Your cousin has had a little too much fun at the open bar within the first thirty minutes of cocktail hour, and your planner is discreetly handling it before it becomes a whole situation.

  • The entire groomsmen crew (all twelve of them) show up late and need help pinning boutonnieres five minutes before the ceremony, and your planner somehow becomes a boutonniere assembly line… and the ceremony still starts on time.

And the best part? You don’t feel any of it.

Because when it’s done right, everything still feels calm, beautiful, and completely effortless.

The logistics and emergencies a planner undertakes and handles really are nothing short of extraordinary.

What Happens When Couples Try to Do It Themselves

When couples try to manage everything themselves, the same issues tend to come up.

Major schedule mishaps. Music timing being off. Vendors arriving with incorrect quantities. Not enough food, drinks, or cake.

These are the kinds of details that don’t seem like a big deal, until they are.

How a Wedding Planner Changes Your Entire Experience

The journey becomes much more calm and stress-free.

A planner allows you to make decisions confidently, knowing the options in front of you are the right ones.

Instead of managing logistics, you actually get to be present - for your engagement, your family, and your wedding day.

The Moment Couples Feel It Most

There are a few moments when it really clicks.

When you first walk into your venue and see the atmosphere fully brought to life.

When you look around your reception and see your guests having the best time.

When you get into your car at the end of the night and find that all of your go-bags are packed and ready to go.

Still On the Fence?

If you’re unsure, start by walking through the planning process step by step.

Look at each piece and ask yourself what your plan is for handling it. That’s usually when couples realize there are things they would have never thought of, and where a planner becomes invaluable.
